Certificate Verification

Purpose

The purpose of this guideline is to provide a standardized, secure, and reliable process for verifying CIML-issued certificates, including professional qualifications, membership certificates, fellowships, and CPD certifications. Verification ensures authenticity, protects the integrity of CIML qualifications, and supports employers, institutions, and other stakeholders in confirming the professional standing of certificate holders.

Scope

This guideline applies to:

All CIML-issued certificates (professional qualifications, membership, fellowships, CPD completion).

Requests received from employers, institutions, regulatory bodies, or members themselves.

Electronic and physical certificates, including certificates verified via CIML online portal.

Responsibility

CIML Secretariat / Membership & Certification Office: Responsible for processing all verification requests.

Verification Officer: Designated staff responsible for authentication of certificate details, database checks, and issuing verification responses.

Council Oversight: Ensures adherence to guidelines, approves verification policies, and updates protocols as needed.

Verification Request Procedure

Verification can be conducted through two primary channels:

Online Portal Verification

Portal Access:

Visit the CIML online certificate verification portal.

Login as an employer, institution, or registered member (or use guest verification link for public access if available).

Input Certificate Details:

Enter certificate number, membership ID, or QR code provided on the certificate.

Instant Verification:

The portal displays the certificate’s authenticity, including:

Holder name

Membership grade / Qualification title

Date of issuance

Expiry or renewal status (if applicable)

A digital verification confirmation can be downloaded, including CIML digital seal or QR code verification.

Reduces manual processing time

Manual / Official Verification Request

If online verification is not possible, a formal request can be made:

Request Submission:

Provide certificate holder’s full name, certificate number, date of issuance, and purpose of verification.

Submit request via email to CIML Membership Office or through official request form.

Verification Process:

Staff checks certificate number, issue date, and holder name against the CIML central database.

Confirms membership grade, CPD completion, or qualification status.

Checks physical certificates for security features (watermarks, signatures, embossing).

Response:

CIML issues an official certificate verification report, stating verified / not verified status, certificate type, grade/qualification, and issue date.

Standard response time: 5–7 business days.

Urgent requests: 48–72 hours (may incur additional fees).

Confidentiality

Certificate verification information is strictly confidential.

Information is shared only with authorized requestors.

CIML will not disclose personal or sensitive information without the consent of the certificate holder, except when required by law.

Fees

Standard verification is free for employers or institutions requesting single certificate verification.

Bulk or expedited verifications may incur nominal fees, published on the CIML website.

Fraud Prevention

CIML monitors for fraudulent or counterfeit certificate claims.

Unauthorized use of CIML certificate templates or misrepresentation of credentials is investigated by the Ethics & Conduct Committee.

Any confirmed fraudulent activity may result in legal action or disciplinary measures.

Appeals and Disputes

Disputes regarding verification results can be submitted in writing.

Reviewed by the Membership & Certification Committee within 10 business days.

Final decision is binding and communicated to the requestor.

Record Retention

Verification requests and responses are retained in the CIML central database for 10 years.

Records are archived and available for auditing and compliance purposes.

Review and Updates

CIML reviews the Certificate Verification Guidelines annually or as required.

Updates are approved by the Council and communicated to all staff and stakeholders.
